This policy explains how we handle personal data when you use the efleetdesk website, operations portal, field apps, and related services.
1. Who we are
efleetdesk ("we", "us") provides a delivery management platform for logistics and operations teams. Your organization's administrator controls access to the workspace you use. Questions about this policy can be sent to hello@efleetdesk.com.
2. Data we process
- Account details such as name, email, role, and tenant assignment.
- Operational data including orders, tasks, shipments, bags, routes, and audit events.
- Customer and consignee contact details needed for delivery and notifications.
- Driver field data such as GPS location during active shifts, scans, and proof-of-delivery artifacts.
- Notification delivery metadata (channel, status, timestamps, and provider cost where applicable).
- Technical logs, device identifiers, and security events required to operate and protect the service.
3. How we use data
We process personal data to:
- Provide dispatch, tracking, notifications, and proof-of-delivery features.
- Authenticate users and enforce tenant isolation and role-based access.
- Send WhatsApp or SMS updates on behalf of your organization when configured.
- Improve reliability, security, and support quality.
- Meet legal, billing, and contractual obligations.
4. Mobile apps & offline use
Field apps may cache tasks and queue scans or proof-of-delivery uploads locally when connectivity is unavailable. Cached data stays on the device until it syncs to your tenant workspace. You should use device passcodes and follow your organization's mobile security policy.
5. Sharing & processors
We do not sell personal data. We share information only with infrastructure and messaging providers needed to run the platform (for example hosting, maps, WhatsApp/SMS gateways, and object storage), under contractual safeguards. Each tenant's data is logically isolated from other tenants.
6. Retention & security
Data is retained according to your organization's contract and operational needs. We apply access controls, encryption in transit, audit logging, and least-privilege practices. No method of transmission or storage is completely secure; report suspected incidents to your administrator and hello@efleetdesk.com.
7. Your rights
Depending on applicable law, you may request access, correction, deletion, or restriction of your personal data. Workspace users should contact their organization's administrator first; we will assist tenant admins with verified requests.
8. Updates
We may update this policy from time to time. Material changes will be reflected on this page with a revised effective date. Continued use of the service after an update constitutes acceptance of the revised policy where permitted by law.
